Job Title: Graduate Trainee – Human Resources

About the Role
As a Graduate Trainee – Human Resources, you’ll support the HR team in executing core administrative functions such as employee records, benefits administration, recruitment logistics, and compliance tracking. This is a fantastic opportunity for a recent graduate to gain hands-on experience in a purpose-driven, fast-paced work environment.
Duties, Roles and Responsibilities
1. Staff Welfare & Benefits Administration
Support the management of staff benefits (medical, GPA, group insurance).
Track staff changes (onboarding, transfers, exits) and maintain accurate records.
Coordinate with providers for claims processing and policy updates.
Reconcile benefits-related payments and prepare regular reports.
2. Airtime & Communication Allowance
Update monthly staff airtime lists.
Coordinate timely top-ups with the service provider.
Track individual usage and generate accountability reports.
3. Employee Records Management
Maintain confidential employee files (digital & physical).
Ensure completeness and compliance of all HR documentation.
Support audits by availing requested records in a timely manner.
4. Recruitment & Onboarding Support
Assist with interview scheduling and candidate communication.
Prepare onboarding kits and collect pre-employment documentation.
Track recruitment progress and onboarding milestones.
5. Employee Letters & Tools of Trade
Draft and issue formal HR letters (e.g., confirmation, certificate of service).
Track issuance of letters, IDs, and staff tools (e.g., equipment or uniforms).
6. Statutory Compliance
Track expiry dates for licenses and certificates (e.g., tax clearance).
Coordinate timely renewals and payments with relevant departments.
Maintain a central compliance tracker.
7. HR Supplies & Stationery
Monitor HR office supply levels and initiate restocking.
Ensure availability of essential materials to support HR operations
Qualifications, Education and Competencies
Bachelor’s degree in Human Resource Management, Business Administration, Industrial Psychology, or related field.
Recent graduate from the class of 2024 or 2025.
Key Competencies
Strong written and verbal communication skills.
Excellent organizational and record-keeping abilities.
Proficiency in Microsoft Office Suite, especially Excel and Word.
Attention to detail and high levels of accuracy.
Eagerness to learn and take initiative.
Ability to maintain confidentiality and act with integrity.
