Job Description
The Finance Officer – Grants Finance will support PEAS in managing donor-funded projects by ensuring accurate, timely, and compliant financial processing. The role reports to the Country Finance Manager and is responsible for accounts management, grant reporting, reconciliations, and assisting with audits. The Finance Officer ensures that all financial transactions, records, and reports meet donor and organizational requirements.
Duties, Roles and Responsibilities
Financial Processes
Support timely completion of project financial reports and invoices; verify accuracy of transaction details in the finance system.
Liaise with the Grants and Business Development team to provide donor-compliant project financial reports.
Prepare variance analyses and other financial analyses as requested.
Perform monthly reconciliations of accounts receivable and follow up on outstanding receivables.
Ensure accurate coding of project expenses and prepare monthly journals for salary allocations, donor receipts, indirect costs, and billing.
Reconcile deferred fund balances and recommend adjustments for financial completeness.
Conduct periodic asset verifications, cash counts, and stock counts across PEAS offices and partner locations.
Coordinate quarterly tax compilation where applicable.
Process project advances and ensure incorporation into monthly transactions.
Manage billing, reconciliations, and periodic financial reports for selected departments and intercompany transactions.
Project Budgets
Assist the Grants & Business Development team in preparing comprehensive and informed project budgets.
Financial Systems & Internal Controls
Identify internal control gaps and recommend policy or procedure improvements.
Ensure financial systems provide sufficient audit trails and documentation aligned with donor requirements.
Maintain secure and organized archival of financial documents per donor requirements.
Project Audits
Assist the Finance team with audits by preparing analyses and supporting documentation for both mainstream and project-specific audits.
Ensure proper archival of all audit documentation.
Other Duties
Perform any other finance-related responsibilities reasonably assigned by management.
Key Performance Indicators
Accurate and up-to-date financial records for all active grants.
Timely and accurate preparation of grant financial reports.
Full compliance with PEAS and donor audit requirements.
Proper closure of grants according to donor agreements.
