Provide support to the Finance, Procurement and Operations functions by performing assigned duties in line with VSO policy, processes and procedures and ensuring effective and efficient service delivery.

Financial Administration: Assist in financial administration tasks such as processing invoices, expense claims, and reimbursements. Ensure accuracy and completeness of financial records and documentation.
Budget Monitoring: Assist in monitoring budget expenditures and variances. Track spending against budget allocations and prepare reports for finance managers or department heads.
Financial Reporting: Assist in preparing financial reports, statements, and analysis as required. Compile financial data and information for internal reporting purposes or external stakeholders.
Procurement Assistance: Support procurement activities such as sourcing suppliers, obtaining price quotations, and preparing purchase orders. Assist in supplier relationship management and contract administration.
Vendor Management: Maintain vendor records, contracts, and correspondence. Coordinate with vendors on order fulfillment, delivery schedules, and payment terms.
Inventory Management: Assist in inventory management activities such as stock monitoring, replenishment, and reconciliation. Ensure accuracy of inventory records and perform periodic stock counts.
Compliance and Documentation: Ensure compliance with finance and procurement policies, procedures, and regulations. Maintain proper documentation and records for audit and compliance purposes.
Financial Analysis: Assist in financial analysis tasks such as cost-benefit analysis, financial modeling, and variance analysis. Provide support for decision-making and strategic planning processes.
Expense Management: Assist in managing employee expenses, travel arrangements, and allowances. Verify expense claims for compliance with policies and guidelines.
Data Entry and Processing: Enter financial and procurement data into accounting or enterprise resource planning (ERP) systems. Ensure accuracy and timeliness of data entry and processing tasks.
Administrative Support: Provide general administrative support to finance and procurement departments, including filing, scanning, photocopying, and correspondence handling.
Communication and Coordination: Coordinate with internal stakeholders, departments, and external parties as necessary. Communicate effectively with vendors, suppliers, and service providers to facilitate procurement processes.
Training and Development: Stay updated on finance and procurement policies, procedures, and best practices. Participate in training programs and professional development activities to enhance knowledge and skills.
Continuous Improvement: Identify opportunities for process improvement, efficiency gains, and cost savings in finance and procurement operations. Make recommendations for improvements and assist in implementing changes.

Essential
Knowledge/qualifications:
Relevant degree –
business administration, accounting, procurement and logistics or another related field
Experience
At least 1-2 years demonstrable experience in an administration, finance and/or procurement role in a busy environment
Hands on experience in office management, asset management and logistics
Skills/Abilities
Good communication skills including the ability to communicate with internal teams, clients, and stakeholders to deliver excellent customer service
Ability to work effectively in a team environment and to work independently with minimal supervision to achieve desired outcomes
Well-developed time management and organization skills to be able to prioritize workload and adhere to strict deadlines
Demonstratable ability in the use of computerized procurement systems and other software applications including MS Office Suite
Ability to handle highly confidential information with tact, discretion and sensitivity
Self-motivated, ability to use own initiative and flexibility.
Strong interpersonal skills and confidence in working in international settings
Excellent communication skills with good command of spoken and written English
Able to travel across project implementation sites and spend time away from work- base location and home.
