Finance and Administration Officer job at CREED Africa

Job Title: Finance and Administration Officer
Department: Finance & Administration
Location: Orisai, Ngora District, Uganda
Responsible To: School Director
Responsible For: Several.
Contract Type: 3 Years renewable contract.
Age: Must be 28 years and above.

NB: Successful candidate must be willing to relocate to the above location.

Relations with Others:
Close working relationship with programme and administration staff in providing
financial services and support.

Job Purpose:
Responsible for maintaining sound financial and accounting systems and controls
for CREED Africa, Grace Junior School and the Far. The role entails performing
day to day financial accounting tasks including, processing payments, filing and
document retrieval, providing data for report preparation and data input in
budgeting, financial accounting and reporting of assigned grants.

Responsibilities:

Finance and accounting.

  • Ensure that all financial transactions are carried out and recorded in accordance with IAS and Creed Africa/Grace Junior school procedures and policies.

  • Petty cash management and custody.

  • Maintain accurate accounting records for Creed Africa, Grace Junior School and the Farm.

  • Preparation and prompt settlement of statutory and other pay

  • Preparation of the monthly accounts for review by the Director by 10th of every month ensuring

  • accuracy of the data.

  • Maintain Pupils fees record and issue statements when required.

  • Cash flow management and bank reconciliation.

  • Ensuring proper book of accounts are kept and maintaining a sound archiving (filing and retrieval) system.

  • Preparation of various supporting schedules to the financial statements to facilitate annual audit and assist in the fieldwork process.

  • Preparations of year end accruals and monthly reconciliation of the accruals and make journals where necessary.

  • Preparation of the payroll journal and monthly reconciliation of the payroll control code.

  • Any other reasonable duty assigned by management.

  • Enter all transactions relating to projects onto the finance system in a timely manner

  • As assigned/ required, attend oversight meetings and raise any financial strategic concerns or risks and discuss financial performance.

  • Ensure maximum cost recovery, including overhead costs and levies on all projects.

  • Work with implementing staff to establish systems that are integrated and meet the organization’s requirements.


Administrative:

  • Develop and maintain a cohesive and flexible performance-based culture.

  • Develop and maintain robust administrative systems on records management, transport, and office maintenance.

  • Manage employee relations, welfare and safety.

  • Coordinate and supervise the administrative function and outsourced services of the organization including security services, management of the office premises, facilities and all office equipment and property and ensure safety in the workplace and provision of working tools.

  • Supervise direct reports work and other administrative matters.

  • Provide leadership and ensure efficient and effective management of staff and resources.

Person Specification:

Essential:

  • Good working knowledge of computer packages including word processing, spreadsheets, power point, quick books accounting package and other accounting software.


Experience:

  • Minimum of 3 years’ experience in accounting and finance with good knowledge of different accounting software.

  • Must have experience in NGO sector/School sector/Agriculture sector.


Knowledge/Skills:

  • Strong interpersonal and communication skills.

  • Strong analytical and problem-solving skills.


Education Criteria:

  • A bachelor’s degree in accounting and a CPA II or equivalent professional level.


Desirable:

  • Firm
