Duty Station: Kabarole, Uganda
The Finance and Administration Assistant will provide financial, administrative, and logistical support to the Mama Rescue Project at BAMA Foundation. This role ensures effective financial transactions, budget tracking, compliance, procurement, and logistical coordination to enhance the project’s success. The position requires strict adherence to donor financial guidelines, internal controls, and financial reporting to maintain transparency and accountability in project funds.

How to Apply
Financial Management & Reporting:
Assist in processing requisitions, due diligence/verification of program activities and accountabilities, making payments, and receipts related to the MAMA Rescue Project with accurate budget coding.
Verify financial documentation for disbursements and ensure numerical accuracy before payments.
Ensure all transactions align with the approved Mama Rescue budget and donor guidelines.
Prepare monthly bank reconciliations and financial reports for the project
Support the preparation of grant budgets and financial guidance where required.
Liaise with the Finance Analyst to ensure accurate expenditure tracking and financial reporting for the project.
Scan and submit financial documents to donors for review.
Statutory Compliance:
Maintain and file tax documentation, submission, and refund records for the MAMA Rescue Project.
Ensure adherence to financial policies and donor compliance regulations.
Administrative & Logistics Support:
Maintain organized financial records and documentation for the project.
Work with the Logistics Officer to track inventory, equipment, and asset management.
Support project staff in processing fund requests for field activities.
Coordinate with procurement officers to ensure adequate supplies for project implementation.
Maintain bookkeeping and filing of financial and administrative records in compliance with donor requirements.
Internal Controls & Compliance:
Support implementation of financial policies to strengthen accountability in project operations.
Collaborate with program teams to enforce proper financial controls and fraud prevention measures.
Conduct periodic financial reviews and internal audits to ensure compliance and efficiency.
Other Duties:
Provide additional financial and administrative support as assigned by project leadership.
Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
Additional CPA or ACCA training is required with related experience.
Experience in finance and administration, preferably in an NGO or healthcare project.
Proficiency in financial software such as QuickBooks and Microsoft Office Suite is a must-have.
Strong analytical, organizational, and communication skills.
Ability to work independently while managing multiple tasks effectively.
