Job Opportunity: Finance & Administration Assistant
Company: Lively Minds
Location: Jinja, Uganda
Reports to: Finance & Administration Officer
Salary: UGX 32,099,747.90 (Gross Annual Salary – Band 5b)
Contract Type: 1-year fixed-term (renewable based on performance and need)
Working Hours: Full-time | Monday to Friday, 9:30 AM – 5:30 PM (1-hour lunch break)
About the Role
We are looking for a Finance & Administration Assistant to support the day-to-day finance, accounting, and administrative functions in our Jinja office. The role requires accuracy, integrity, and strong organizational skills to maintain efficient finance operations in a fast-paced, collaborative environment.

A. Finance Systems & Processes
Set up and maintain beneficiary records in the mobile money system
Manage and process petty cash payments via the mobile platform
Post daily financial transactions into the accounting system
Support internal and external audit processes
B. Procurement & Logistics Support
Ensure timely payment of utility bills (electricity, water, internet)
Support vendor sourcing and follow up on invoices, receipts, and documentation
Coordinate travel and accommodation for staff and guests
C. Compliance & Record-Keeping
Report any suspicious activities or financial discrepancies
Monitor adherence to financial policies and escalate issues to the supervisor
Safeguard sensitive financial, donor, and staff information
D. Administrative & Team Support
Prepare monthly admin budgets and raise necessary requisitions
Assist in drafting financial reports and support finance-related queries
Take minutes in finance meetings and follow up on action items
Help ensure timely preparation, scanning, and filing of data collection forms
Process payments, advances, retirements, and reimbursements
Suggest process improvements for increased efficiency and accuracy
Flexibility is key — other responsibilities may be assigned in line with your skills and organizational needs.
Qualifications, Education and Competencies
Essential Qualifications & Experience
Bachelor’s degree in Accounting, Finance, Business Administration, Commerce, or a related field
Minimum of 1 year of experience in a finance/accounting role
High attention to detail and ability to maintain accurate records
Strong understanding of financial protocols and accountability
Excellent command of English (spoken and written)
Proficient in Microsoft Office, especially Excel
Ability to work independently in a fast-paced environment
Excellent interpersonal and teamwork skills
Desirable Skills
Familiarity with accounting software
Ability to communicate financial data visually (charts/graphs) for non-finance staff
Strong time management and willingness to work beyond regular hours when needed
Experience working in diverse, cross-cultural environments
This role has potential for growth into more senior positions based on performance and organizational needs.
