Job Description
Assist in preparing, reviewing, and administering contracts, agreements, and purchase orders, ensuring compliance with legal and regulatory requirements, and monitoring contract performance and milestones.
Duties and Responsibilities
Sales Support: Assist in sales activities by preparing quotations, proposals, and sales contracts, liaising with customers, responding to inquiries, and providing product information and pricing details to support the sales team.
Customer Service: Provide customer support and assistance, addressing inquiries, concerns, and complaints in a timely and professional manner, and ensuring customer satisfaction through effective communication and problem-solving.
Order Processing: Process customer orders, purchase orders, and sales contracts accurately and efficiently, entering orders into the system, coordinating with internal departments to fulfill orders, and ensuring timely delivery to customers.
Inventory Management: Assist in managing inventory levels, monitoring stock levels, and coordinating inventory replenishment and allocation to meet customer demand and minimize stockouts or excess inventory.
Supplier Management: Assist in sourcing suppliers, obtaining price quotes, and negotiating terms and conditions for procurement of goods and services, ensuring cost-effectiveness, quality, and timely delivery.
Contract Administration: Assist in preparing, reviewing, and administering contracts, agreements, and purchase orders, ensuring compliance with legal and regulatory requirements, and monitoring contract performance and milestones.
Documentation and Record-keeping: Maintain accurate and up-to-date records, documentation, and databases related to sales transactions, customer accounts, purchase orders, contracts, and inventory management activities.
Market Research: Conduct market research and analysis to identify trends, competitor activities, and customer preferences, gathering market intelligence to support business development and strategic decision-making.
Reporting and Analysis: Prepare regular reports, dashboards, and analysis of sales performance, inventory levels, procurement activities, and customer satisfaction metrics, identifying insights and trends to inform management decisions.
Qualifications and Competencies
Education: A bachelor's degree in business administration, commerce, marketing, or a related field is typically required for Assistant Commercial Officer positions. Some employers may accept candidates with relevant diplomas or certifications.
Experience: Previous experience in sales support, customer service, procurement, or commercial operations is often preferred for Assistant Commercial Officer positions. Entry-level candidates may be considered if they demonstrate relevant skills and aptitude.
