Admission Assistant job at Victoria University

Victoria University

The Admission Assistant will manage student enrollment within East Africa and other regions. The candidate will also ensure consistent growth in student enrollment through positive planning, deployment and management of marketing personnel. The incumbent will identify objectives, strategies and action plans to improve short and long-term student enrollment.

  • Application Processing: Assist with the processing of admissions applications, including reviewing application materials, ensuring completeness, and entering data into the admissions system.

  • Communication: Respond to inquiries from prospective students, parents, and guidance counselors regarding admissions procedures, requirements, and deadlines. This may involve answering emails, phone calls, and in-person inquiries.

  • Document Management: Maintain organized records of applicant files, transcripts, test scores, and other relevant documents. Ensure compliance with data protection regulations and confidentiality policies.

  • Event Coordination: Assist in the planning and execution of admissions events, such as campus tours, open houses, and information sessions. This may involve scheduling appointments, preparing materials, and providing logistical support.

  • Interviews and Evaluations: Conduct interviews with prospective students to assess their qualifications, interests, and fit with the institution. Assist admissions officers in evaluating applicants based on academic records, essays, recommendations, and other criteria.

  • Admissions Outreach: Collaborate with marketing and recruitment teams to develop and implement strategies for attracting and engaging prospective students. Represent the institution at college fairs, high schools, and community events to promote admissions opportunities.

  • Assessment and Reporting: Assist in compiling statistical data and generating reports on admissions trends, applicant demographics, and enrollment projections. Analyze data to identify areas for improvement and inform decision-making.

  • Customer Service: Provide excellent customer service to applicants and their families throughout the admissions process. Address concerns, resolve issues, and ensure a positive experience for all stakeholders.

  • Organizational Skills: Attention to detail and the ability to manage multiple tasks simultaneously are important for maintaining accurate records, meeting deadlines, and coordinating events.

  • Interpersonal Skills: A friendly and approachable demeanor, as well as the ability to work collaboratively as part of a team, are valuable qualities in an admissions assistant. Empathy, patience, and cultural sensitivity are also important when dealing with diverse populations.

  • Technology Proficiency: Comfort with computer applications and database management software is typically required. Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and experience with admissions software or CRM systems may be preferred.
