Job Description
The Administrative Secretary/Personal Assistant will play a crucial role in providing comprehensive support to the team. The role involves managing schedules, coordinating meetings, handling correspondence, maintaining filing systems, overseeing office operations, and assisting in project coordination. The individual will also be responsible for ensuring the smooth functioning of daily administrative tasks, supporting both physical and electronic document management, and handling various office duties to ensure the efficient running of operations.
Duties, Roles and Responsibilities
Scheduling and Calendar Management:
Managing appointments, coordinating meetings, and scheduling both domestic and international travel.
Communication Management:
Handling phone calls, emails, and other forms of correspondence. Acting as the liaison between staff and clients.
Document Management:
Drafting letters, reports, presentations, and other necessary documents.
Filing and Records Management:
Maintaining an organized system for both physical and electronic records.
Office Operations:
Ordering office supplies, managing inventory, and ensuring the smooth functioning of office equipment.
Reception Duties:
Greeting visitors, directing them to the appropriate department, and answering inquiries.
Project Management:
Assisting with project coordination, including organizing events, conferences, or special projects.
Qualifications, Education and Competencies
Education:
Bachelor’s degree in Business Management, Office Administration, or a related field.
Experience:
3-5 years of experience in an administrative, executive assistance, or personal assistant role.
Skills:
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Google Workspace, etc.).
Strong communication and customer service skills.
Ability to handle confidential information.
Attention to detail and excellent organizational skills.
