Job Description
Reporting to the Head of Unit/Chief Manager, the Administrative Officer will assist with day-to-day unit operations and design, implement, and periodically review an efficient records management system. The role drafts official correspondence, collates periodic NDPC reports, prepares work schedules, and organises/serves meetings and conferences. The officer will handle official mail per procedure, record proceedings and dispatch minuted letters/memos to action officers, maintain the security and confidentiality of documents, receive and direct visitors, and perform other assigned duties to ensure seamless unit operations.

How to Apply
Assist in managing day-to-day unit operations for effective service delivery.
Design, implement, maintain, and periodically review an efficient records management system.
Collate periodic NDPC reports.
Draft correspondence, memoranda, and other official documents.
Prepare and organise work schedules aligned to assigned responsibilities.
Organise and service meetings and conferences (logistics, minutes, follow-ups).
Maintain security and confidentiality of office documents and information.
Handle all official mail in line with laid-down procedures.
Record proceedings of meetings; ensure minuted letters/memos are recorded and transmitted to action officers.
Receive and direct visitors to the Commission.
Perform any other duties assigned by the Head of Unit or Chief Manager.
Bachelor’s degree in HR, Administration, Procurement, Supply Chain Management, IT, or a relevant field from a recognised tertiary institution.
Minimum of three (3) years’ post-qualification work experience.
Successful performance in a competitive selection interview conducted by PSC in consultation with NDPC.
Knowledge of HR/management, procurement, supply chain, information technology and systems (as applicable).
Proficiency in computers and understanding of systems management; strong ICT skills including Microsoft Office; familiarity with statistical analysis software is an advantage.
Competencies:
Communication, report writing, and presentation skills; strong interpersonal skills.
Knowledge of labour laws.
Project and programme management capability.
Effective teamwork and collaborative working style.
Condition: Ability to serve a minimum of four (4) years on the appointed grade before the compulsory retirement age of sixty (60).
