We are looking to hire a highly organized administrative officer to perform all administrative and clerical duties necessary for effective office management. The Administrative Officer's responsibilities include welcoming visitors and clients, overseeing the activities of office cleaning staff and maintenance vendors, as well as typing and proofreading various company documents. You should also be able to organize flights, transportation, and accommodation for company executives. Applicant should display good phone etiquette and a thorough understanding of office management procedures. Ultimately, a top-performing administrative officer should be able to demonstrate exceptional organizational and time management skills to complete all duties in a timely manner.
Responsibilities
Manage office supplies stock and place orders
Prepare regular reports on expenses and office budgets
Maintain and update company databases
Organize a filing system for important and confidential company documents ∙ Answer queries by employees and clients
Update office policies as needed
Maintain a company calendar and schedule appointments
Book meeting rooms as required
Distribute and store correspondence (e.g. letters, emails and packages)
Prepare reports and presentations with statistical data, as assigned
Arrange travel and accommodations as may be required
Schedule in-house and external events

Skills & Qualifications
At least two (2) years proven work experience as an Administrative Officer, Administrator or similar role
Diploma or Bachelor’s degree in business administration or business management is advantageous.
Solid knowledge of office procedures
Proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel, Outlook, and Access).
Comfortable handling confidential information.
Multi-tasking and time-management skills, with the ability to prioritize tasks with a problem-solving attitude.
Good organization, time management and scheduling skills
Basic bookkeeping experience, especially in accounts payable/receivable
Typing speed of at least 60 words per minute with few errors
Strong communication skills
Exceptional customer service skills
Excellent written and verbal communication skills
Attention to detail
