5. Job Description (Detailed)
The Administrative & Finance Assistant will be responsible for implementing financial management procedures and controls, preparing administrative and capital budgets, monitoring expenditures, and producing periodic reports. The role includes managing procurement processes, handling office supplies and inventory, processing mission expenditures, and ensuring compliance with tax exemption procedures. The Assistant will also coordinate logistics for staff travel, visas, and other official documents. Additionally, they will manage contracts with service providers and oversee the processing of staff and official visitor arrangements.

How to Apply
Participate in the preparation of administrative and capital budgets.
Monitor and report on expenditures, proposing revisions where necessary.
Implement financial management and reporting procedures to improve service efficiency.
Assist in the procurement of goods and services and management of office supplies and equipment.
Maintain inventory records and a fixed asset register for Bank property and equipment.
Process mission expenditures and advances.
Follow up on tax refunds and exemptions and handle visa and diplomatic document processing.
Coordinate airport arrivals and departures, hotel bookings, visa handling, and official document processing for staff and visitors.
Perform other duties as assigned by the Country Manager.
A minimum of a Bachelor’s degree in Accounting, Finance, Audit, Administration, or a related field.
At least 5 years of relevant experience, with a minimum of 3 years in an accounting firm or business organization.
Proof of citizenship or permanent residency/work authorization in Uganda.
Membership in a professional accounting body (e.g., CA, CPA, ACCA) is an advantage.
Proven ability to work effectively in a multi-cultural, team-oriented environment.
Strong skills in administration, financial accounting, and support services.
Proficiency in English or French, with a working knowledge of the other language.
Competence in Microsoft Office (Word, Excel, PowerPoint, Access). Knowledge of SAP is an added advantage.
