Admin Assistant job at Lapaire
Lapaire
The Admin HR Assistant will report directly to the Operations Manager and indirectly to the HR Team. He/she will be responsible for managing general company resources in Uganda, and will deal with administrative tasks in compliance with all the policies and procedures put in place at Group level.
Managing general resources in Uganda (50%)
Centralizing requests for equipment and ensuring the purchase and provision of office equipment for employees: ordering IT equipment, office furniture, small supplies, etc.
Centralizing requests from the various Lapaire branches, assessing their relevance and ensuring optimal purchasing and dispatching of purchases to them.
Ensuring the well-being of employees: equipment maintenance, cleanliness of premises, preparation of work areas, safety, etc.
Managing our various service providers and suppliers, and processing the related invoices (water, electricity, telephone, insurance, tax, rent, leases, etc.)
Managing staff travel/missions (bookings, formalities, preparation of mission documents, etc.)
Coordinating with branch managers and suppliers to maintain the branches to the Lapaire standards in terms of repairs and maintenance.
Ensuring the proper application of the Group's HR procedures and policies in Uganda (40%)
Collecting and updating administrative information on employees using our HRIS software
Preparing employment contracts and amendments for employees
Drafting HR documents (work certificates, disciplinary letters, loans and advances documents & agreements, etc.).
Recruitment and support with the payroll process for Uganda (10%)
Supporting with sourcing, screening, assessing and profiling candidates for junior positions
Monitoring of absences and leave & review of employees' proof of absence
Payroll processing using our HRIS software
Processing exits: preparing final dues and other exit documents

Holder of a Degree or Diploma in Human Resources Management, Business Administration, Finance/Accounting.
Two years experience managing company resources, purchasing and records management.
Excellent knowledge of labor law in Uganda and recruitment would be highly appreciated.
Fluency with the necessary digital tools, in particular personnel management tools (HRIS, ATS), excellent knowledge of Excel/Sheets and Google Drive.
