Job Description
The Legal & Research Documentation Officer will support the documentation and research team by preparing structured reports, memos, and professional documents, while also handling graphics and layouts for internal and external use. Responsibilities include conducting legal-style research, drafting summaries, formatting agreements and reports, editing PDFs, and designing professional layouts. The role requires advanced Microsoft Word and PDF editing skills, as well as competence in Canva, Corel, or Adobe tools. The officer will also support senior staff with case documentation packages, maintain file version control, and ensure compliance with confidentiality protocols.
Duties, Roles and Responsibilities
Conduct research on policies, regulations, and case precedents.
Draft summaries, briefing notes, memos, and explanatory letters.
Prepare internal reports and compliance notes for review.
Draft and format professional documents (letters, agreements, reports).
Merge, edit, and reorganize Word, PDF, and image files.
Apply advanced formatting in MS Word (styles, TOCs, headers/footers, numbering).
Perform OCR on scanned documents to ensure print-ready quality.
Maintain version control and structured digital filing systems.
Assist in preparing complete documentation packages.
Review files for accuracy and completeness.
Provide timely task updates and meet strict deadlines.
Support case analysis with organized notes and references.
Design simple professional layouts (certificates, letterheads, flyers, reports).
Deliver documents in both print-ready and web-optimized formats.
Ensure confidentiality, compliance, and adherence to internal SOPs and NDAs.
Qualifications, Education and Competencies
BA/BSc/HND in Law, Social Sciences, ICT, or related fields.
Minimum of 4 years’ experience in research, documentation, or professional office environments.
Strong research and writing skills.
Advanced MS Word proficiency (styles, TOCs, mail merge, track changes).
Strong PDF editing skills (combine, OCR, redact, secure).
Competence in Canva, CorelDRAW, or Adobe design tools.
Typing speed of at least 45 WPM with high accuracy.
Strong organizational and multitasking abilities.
High integrity and strict adherence to confidentiality.
Previous experience in document-heavy professional environments is an added advantage.
