1. Main Duties and Responsibilities
Finance assistant duties include, but are not limited to:
● Reviewing payment requests, verifying supporting documents, ensuring authorizations are in place before issuing payments under the value of 500,000 ugx
● Receiving cash and receipting it (tuition, clubs, uniform cash etc)
● Initiating online bank payments under the direction of the Finance Manager
● MTN mobile money payments.
● Updating the excel cash $ & UGX ledgers with cash expenses and receipts, checking
supporting documents attached to each transaction.
● Daily cash counts with the finance assistant/receptionist to verify 1) excel ledger with 2) QB & 3) the physical cash count.
● Weekly posting of payment transactions in QB including: accountabilities, bank payments, petty cash vouchers.
● Banking duties including: depositing parents cheques, processing EFTs & cheque payments at the bank, immigration payments.
● Monthly filing of Tax returns (PAYE, WHT & NSSF)
● Month end reporting tasks (Balance sheet account reconciliations)
● Preparing of tuition invoices quarterly to be reviewed by the finance manager
2. Receptionist duties include but are not limited to:
● First point person with visitors and parents arriving at the school – dealing with parent
queries, scheduled and non scheduled appointments, vendor/new parent inquiries, verifying new pickup authorization.
● Answering the reception phone and dealing with inquiries.
● Communication to parents via Whiteboard notices & bulk texting.
● Welcoming new parents and providing a tour and information about admissions.
● Scheduling ‘new student’ assessments with grade teachers.
● Assist the Admissions assistant to collect & review admissions applications, health forms,
ICT and e – safety documentation.
● Administrative duties including emailing letters to parents, printing, photocopying and
laminating materials for teachers when TAs are not available.
● Managing report card distribution & transition data (report cards) for outgoing students
transferring to new schools.
● Maintaining teacher copy room – checking copiers are working, adequate paper, toner etc is on hand. Contact ICT if machines need servicing.
● Collecting and recording money for special collections, field trips and visits.
● Updating Alma database – being fully conversant in all aspects of this software
3. First Aid duties:
● Managing sick bay & First Aid incidences.
● Ensuring First Aid supplies are restocked including first aid boxes in classrooms & buses.
An annual review of this job description and allocation of particular responsibilities will take place as part of the Performance Review.
- Applicants must have a meaningful faith in Christ and a track record of service in their church and community.
- Teachers must have a valid teaching certificate, which can be from their home country.
- Ideally, teachers should have two years of teaching experience in a diverse classroom.
- For teachers coming from North America or Europe, international teaching and life experience is strongly preferred and usually required.
- For teachers from Uganda or other African nations who have not lived outside the continent, teaching experience in an internationally accredited international school is strongly preferred and almost always required.
