Job Description
The Executive Assistant partners closely with the MD to streamline priorities and keep executive operations running smoothly. The role manages complex calendars, schedules and hosts internal/external meetings, coordinates local and international travel (flights, accommodation, visas), prepares board-ready documents and presentations, maintains organized digital records, and tracks action items to closure. The EA serves as the MD’s primary point of contact, screens communications, drafts correspondence, conducts background research, supports special projects, and troubleshoots day-to-day office issues with discretion and professionalism. (Salary range: ₦750,000–₦1,000,000/month.)
Duties, Roles and Responsibilities
Manage the MD’s calendar; schedule and coordinate meetings/appointments with internal and external stakeholders.
Act as primary liaison for the MD—screen calls, emails, visitors; ensure timely, clear communications.
Plan and manage end-to-end travel logistics (flights, accommodation, visas) and itineraries.
Prepare, review, and edit documents, reports, and correspondence for accuracy, format, grammar, and content.
Organize meeting materials, record minutes, track action items, and ensure timely follow-up.
Build and refine executive presentations (internal/external); produce draft reports and background briefs; conduct research as needed.
Maintain organized digital filing systems and confidential records.
Troubleshoot/escalate office administration issues; coordinate with vendors and internal teams.
Review, prioritize, and distribute incoming correspondence for the executive team.
Facilitate communication with department managers, business unit leaders, and project managers; take and transcribe notes.
Represent the executive office professionally to partners, suppliers, and visitors.
Perform other MD-assigned duties.
Qualifications, Education and Competencies
Bachelor’s degree (any discipline); Master’s (MBA/MSc/MA) is an advantage.
5–8 years’ proven experience in senior administrative/executive assistant roles (oil & gas or consulting preferred).
Advanced proficiency with Microsoft Office and Google Workspace; strong document/presentation design.
Excellent written and verbal communication; impeccable attention to detail and discretion.
Strong calendar, travel, and logistics coordination; superb time management and prioritization.
Solid stakeholder management and interpersonal skills; confident, professional demeanor.
Sound judgment, problem-solving, and decision-making; ability to manage multiple deadlines.
Project management capability; disciplined follow-through on actions/deliverables.
