Job Description
The Documentation Supervisor will be responsible for managing, controlling, and safeguarding all company documentation related to production, logistics, procurement, quality control, and administrative operations. The role ensures timely preparation, filing, retrieval, and verification of documents to support smooth business operations, compliance, traceability, and efficient information management within the organization.
Duties, Roles and Responsibilities
- Develop, implement, and maintain document control systems, procedures, and standards in line with company policies and international best practices.
- Supervise creation, receiving, classification, recording, and distribution of documents across departments.
- Ensure proper filing, storage, indexing, and secure archiving of both physical and electronic documents.
- Maintain accurate document registers, tracking logs, and version control to ensure document integrity and traceability.
- Verify completeness, accuracy, and compliance of documents including contracts, shipment records, production documentation, quality reports, purchase records, and operational files.
- Coordinate with logistics, procurement, production, and finance teams to ensure timely issuance and submission of required documentation.
- Oversee document retrieval processes and provide timely access to information to authorized staff.
- Monitor adherence to document management policies and support internal and external audits.
- Prepare regular documentation status and compliance reports for management.
- Train and guide staff on document control procedures and best practices.
- Ensure confidentiality, data security, and safe document handling.
