Job Title: Administrative Assistant
Position Overview:Newton & Einstein Institute of Science and Technology (NEIST) is a not-for-profit, community-driven institution focused on education, research, innovation, and action aimed at improving communities. We empower individuals to work creatively, wisely, and effectively for the betterment of humankind. NEIST is set to receive funding from ViiV Healthcare UK for the project titled "Applying Science to Strengthen and Improve Community Systems for Women and Girls Living with HIV in Refugee Settings" (ASSIST Women and Girls Project). We are seeking an Administrative Assistant to join our team and support the successful implementation of this project.
Role Description:
Job Title: Administrative Assistant
Reports to: Project Manager
Engagement: Full-time
Contract Duration: 1 Year (Renewable based on performance)
Duty Station: Mbarara with frequent travel to Nakivale and Oruchinga Refugee Settlements
The Administrative Assistant will provide administrative support to ensure the efficient operation of the project.

How to Apply
Key responsibilities include:
1. Project Administration:
Plan and coordinate project meetings, including preparing agendas and taking meeting minutes.
Coordinate and schedule travel, meetings, and appointments for project staff.
Track the project budget, initiate requisitions, and work with the finance team to ensure proper accountability of advanced funds.
Maintain accurate records of all project-related information.
Ensure the availability of project materials, supplies, and equipment at the appropriate time and quantities.
Maintain office supplies and oversee the maintenance of office equipment.
Respond to and resolve administrative inquiries and questions.
Perform other duties as assigned by the Project Manager.
A relevant degree in Business Administration, Information Technology, Social Work, Social Administration, Public Health, or related disciplines.
At least 1 year of work experience in project administration.
Proficiency in Microsoft Office applications.
Experience working with Community Health structures is an added advantage.
Terms of Service:
This is a one-year appointment, renewable upon satisfactory performance.
Work Hours: 8 hours per day.
