Job Description
The Virtual Assistant will play a crucial role in keeping internal operations efficient and organized. Responsibilities include reviewing and managing emails, tracking and filing real estate contracts, ensuring timely communication with brokers, vendors, landlords, and title companies, managing calendars, maintaining CRM systems such as Pipe Drive and HubSpot, and overseeing invoice and commission tracking. The role requires a high degree of reliability, adaptability, professionalism, and a willingness to grow into a long-term team member. Duties, Roles and Responsibilities
Manage and respond to email communications
Track and accurately file real estate contracts
Liaise with title companies, landlords, vendors, and brokers
Generate and process invoices in a timely manner
Maintain and update CRM systems (Pipe Drive, HubSpot)
Schedule appointments and manage calendars
Organize and maintain business documentation
Support administrative tasks and operational tracking
Qualifications, Education and Competencies
Strong organizational skills with attention to detail
Dependable, self-motivated, and able to work independently
Excellent verbal and written communication skills
Ability to handle professional correspondence
Comfortable with phone communication
Tech-savvy and quick to learn new tools
Comfortable working with big-picture thinkers and shifting priorities
Prior experience with Microsoft Office, Apple Mail/Calendar, Chanty, Slack, Pipe Drive, and HubSpot is a plus
Must be able to pass a background check
Looking for a long-term commitment (3+ years)
