Stores Officer L1 (For Spare) job at Aldelia

Job Description

Aldelia is a global leading human resources company founded in 2005 and specialized in recruitment, outsourcing and payroll management services to blue-chip multinationals and fast-growing SMEs. The group operates in more than 30 countries across all industries and disciplines on four continents.

Duties and Responsibilities

Inventory Management:

  • Maintain accurate records of all spare parts inventory.

  • Conduct regular stock counts and audits to ensure inventory accuracy.

  • Monitor stock levels and reorder parts as necessary to prevent shortages.

Receiving and Inspection:

  • Receive and inspect incoming spare parts for quality and accuracy.

  • Verify the quantity and condition of parts received against purchase orders.

  • Report any discrepancies or damaged items to suppliers and arrange for replacements.

Storage and Organization:

  • Properly store spare parts in designated areas to ensure easy retrieval.

  • Implement and maintain an organized storage system, including labeling and categorizing parts.

  • Ensure storage areas are clean, safe, and comply

  • with safety regulations.

Distribution and Issue:

  • Issue spare parts to maintenance and repair teams as needed.

  • Keep accurate records of parts issued and ensure proper documentation.

  • Coordinate with other departments to ensure timely delivery of parts.

Record Keeping and Documentation:

  • Maintain detailed records of inventory transactions, including receipts, issues, and returns.

  • Use inventory management software to update and track stock levels.

  • Prepare reports on inventory status, usage trends, and any discrepancies.

Vendor Management:

  • Liaise with suppliers to ensure timely delivery of spare parts.

  • Negotiate with vendors to obtain the best prices and delivery terms.

  • Maintain good relationships with suppliers and resolve any issues that arise.

Budget Management:

  • Assist in preparing and managing the budget for spare parts inventory.

  • Monitor expenses related to spare parts and identify cost-saving opportunities.

Compliance and Safety:

  • Ensure all activities comply with company policies and industry regulations.

  • Implement safety procedures for handling, storing, and disposing of spare parts.

  • Conduct regular safety audits and training sessions for staff.

Continuous Improvement:

  • Identify and implement improvements in inventory management processes.

  • Stay updated with industry best practices and technological advancements.

  • Propose and implement strategies to reduce inventory costs and increase efficiency.

Qualifications and Competencies

Educational Qualifications:

  • High school diploma or equivalent is typically required.

  • A diploma or degree in supply chain management, logistics, or a related field is advantageous.


  • Previous experience in inventory management, warehouse operations, or a similar role is often required.

  • Experience specifically in managing spare parts inventory is a plus.

Skills and Competencies:

  • Attention to Detail: Ability to maintain accurate records and ensure precision in inventory counts.

  • Organizational Skills: Efficient in organizing and managing a systematic storage system.

  • Communication Skills: Strong verbal and written communication skills for effective interaction with suppliers and internal teams.

  • Problem-Solving: Capable of identifying and resolving inventory discrepancies and supplier issues.

  • Technical Proficiency: Familiarity with inventory management software and basic computer skills (e.g., Microsoft Office Suite).

  • Analytical Skills: Ability to analyze inventory data and generate reports.


Physical Requirements**:

  • Ability to lift and move heavy parts and materials, as needed.

  • Stamina to work in a warehouse environment, which may involve standing for long periods.


  • Understanding of supply chain and logistics principles.

  • Knowledge of safety and compliance regulations related to inventory management.


  • Relevant certifications in inventory management or supply chain management (e.g., Certified Supply Chain Professional (CSCP), Certified in Production and Inventory Management (CPIM)) can be beneficial.

Soft Skills:

  • Teamwork: Ability to work collaboratively with other departments and team members.

  • Time Management: Efficient in prioritizing tasks and managing time to meet deadlines.

  • Adaptability: Flexible in handling changing inventory demands and work conditions.
