Job Description
The Senior Conveyancing Secretary will play a pivotal role in managing administrative and legal responsibilities associated with residential real estate transactions and new development transfers. This includes preparing legal documentation, maintaining effective communication with stakeholders, tracking the progress of transactions, ensuring timely registrations, and managing the financial aspects of conveyancing. The successful candidate will bring deep knowledge of conveyancing systems, exceptional organizational skills, and excellent communication abilities to the role.
Duties, Roles and Responsibilities
Manage entire property transactions from start to completion
Prepare and manage conveyancing files and conduct necessary legal searches
Draft legal documents using conveyancing systems (E4, Lexis Convey)
Obtain transfer duty, rates clearance, and sectional title consents
Maintain accurate filing of legal documents relating to transfers, bonds, and cancellations
Communicate with banks, municipalities, estate agents, the Deeds Office, and other stakeholders
Track transaction progress and ensure timely lodgement and registration
Oversee financial components of transactions, including fee payments and proof of payment tracking
Coordinate document signing with buyers and sellers
Provide regular updates and support to clients throughout the transfer process
Collaborate with developers and attorneys in new development projects
Qualifications, Education and Competencies
Minimum Qualifications:
Matric (essential)
Legal Secretary, Paralegal, or Conveyancing qualification (advantageous)
Experience & Skills:
Minimum 5 years’ experience in conveyancing, preferably with new development property transfers
Proficiency in Lexis Convey, E4, SearchWorks, and Windeed
Familiarity with accounting systems such as AJS
Proficiency in Microsoft Office (Word, Excel, Outlook)
Strong attention to detail and ability to manage multiple files
Excellent verbal and written communication skills
Ability to work independently and under pressure
Professional drafting and correspondence abilities
Solid experience in stakeholder and client relationship management
