Job Description
The Senior Administrative Supervisor will be responsible for managing all aspects of facilities operations at One Acre Fund’s Nairobi office and apartments. The role includes ensuring health and safety compliance, coordinating events, managing vendors, overseeing cleaning and maintenance schedules, and maintaining administrative records. The successful candidate will lead the facilities services team, mentor staff, and create a culture focused on service excellence and continuous improvement. This full-time, onsite role reports to the Facility Services Management Specialist and plays a critical role in optimizing the overall staff experience.
Duties, Roles and Responsibilities
Oversee the day-to-day operations of the Nairobi office and staff residences.
Ensure cleanliness, safety, efficiency, and compliance with SOPs.
Supervise Facility Service Officers and cleaning vendors.
Manage assets, office consumables, and recurring service expenses.
Coordinate internal office events and partner engagements.
Enforce health, safety, and security protocols.
Foster a high-performance, service-oriented team culture.
Track budgets, inventory, maintenance schedules, and team performance using digital tools.
Qualifications, Education and Competencies
Minimum of 5 years’ experience managing office or residential facilities.
At least 3 years of leadership experience in supervising teams and external service providers.
Practical experience in event coordination and vendor management.
Proficiency with Google Workspace and digital tracking tools.
Experience in consumables control, asset management, and visitor access systems.
Strong understanding of health, safety, and security standards.
Budget management experience is an added advantage.
Strong organizational, communication, and problem-solving skills.
Ability to thrive in a fast-paced environment with multiple priorities.
