The Public Health Administrative Management Assistant (Administrative Assistant (CDC) oversees the day-to-day administrative functions and logistical coordination in support of one or more branches in the Centers for Disease Control Uganda country office. The specific work portfolio includes office management, transcription and distribution of meeting minutes, preparation of correspondence and documents, travel arrangements, procurement processing, maintenance requests, time and attendance, motor pool arrangements, and other administrative duties as assigned.
Administrative Support: Provide administrative support to public health management staff, including scheduling meetings, managing calendars, coordinating travel arrangements, and preparing expense reports.
Documentation and Record-keeping: Maintain accurate and up-to-date records, databases, and filing systems related to public health programs, projects, and activities. Ensure compliance with record-keeping requirements and confidentiality protocols.
Correspondence and Communication: Draft, proofread, and distribute correspondence, reports, and presentations on behalf of public health management staff. Communicate effectively with internal and external stakeholders, including government agencies, healthcare providers, and community organizations.
Meeting Coordination: Assist in organizing and coordinating meetings, conferences, and events related to public health initiatives. Prepare meeting agendas, compile materials, and take minutes during meetings as needed.
Project Assistance: Provide support for public health projects and initiatives, including assisting with project planning, monitoring project timelines, and tracking project milestones and deliverables.
Data Collection and Analysis: Assist in collecting, compiling, and analyzing public health data and statistics. Prepare reports, charts, and graphs to summarize findings and support decision-making by public health management staff.
Resource Management: Assist in managing resources, including supplies, equipment, and budgets, for public health programs and projects. Monitor expenditures, reconcile financial records, and assist with procurement processes as needed.
Quality Assurance: Support quality assurance activities to ensure compliance with public health regulations, standards, and best practices. Assist in conducting audits, inspections, and evaluations of public health programs and services.
Training and Education: Assist in organizing and facilitating training sessions, workshops, and educational programs for public health staff and community members. Help develop training materials and resources as needed.
Community Outreach: Support community outreach and engagement efforts to promote public health awareness, education, and prevention initiatives. Assist in organizing outreach events, distributing educational materials, and coordinating with community partners.
Policy and Advocacy: Stay informed about public health policies, regulations, and legislation. Assist in conducting research, preparing policy briefs, and advocating for public health initiatives at the local, state, and national levels.
Emergency Preparedness: Assist in emergency preparedness and response activities, including developing emergency plans, coordinating response efforts, and disseminating information to the public during public health emergencies.
Collaboration and Networking: Collaborate with public health agencies, healthcare providers, community organizations, and other stakeholders to support collaborative efforts to improve public health outcomes.
Professional Development: Stay updated on developments in the field of public health administration through professional development opportunities, training programs, and participation in relevant conferences and seminars.
Other Duties as Assigned: Perform other duties and responsibilities as assigned by public health management staff to support the efficient operation of public health programs and services.
The applicants for the United States US Embassy Public Health Administrative Management Assistant (Administrative Assistant (CDC) job opportunity should have completed two-year College or University Studies in any field is required.
At least two years of office administration or secretarial experience in a busy and multi-cultural organization/institution is required.
A general knowledge of secretarial work, office management procedures, and office automation software (e.g., Microsoft Office processing programs) is required.
Excellent and accurate typing and computer skills where both accuracy and speed is required.
Ability to draft correspondence and establish and maintain files in an orderly fashion is required.
Must demonstrate methodical work habits
Language: English- Fluent speaking/reading/writing, may include the ability to translate and Luganda-Good working knowledge; speaking, reading & writing.
