Job Description
You will act as the primary point of contact for site coordination, maintaining the Program of Works, leading toolbox meetings, tracking progress and issues, and driving timely deliveries. You’ll coordinate labeling and documentation with Design, run daily QC checks and client inspections, evaluate installer performance, manage special deliveries (granite, mirrors, electrical), and submit weekly labour budget and performance reports. The role requires rigorous documentation (Teams/email logs, photos/videos), fast issue resolution (≤24 hrs), and proactive stakeholder engagement across office, plant, stores, and site teams.

Site & Communication Management
Coordinate activities end-to-end—from plant to site installation.
Log and track all communications/requests (Teams/email); serve as site POC.
Program & Reporting
Update Program of Works; issue daily/weekly progress reports.
Log daily completed items; report attendance, materials used, units worked, delays.
Toolbox Meetings
Lead toolbox meetings Mon & Fri; co-host Wed with Project Manager.
Align on schedules/deliveries; escalate non-compliance.
Site Issues & Rework
Maintain Site Issue Book with photos/updates; resolve issues within 24 hrs.
Material & Delivery Management
Ensure delivery of required materials within 24 hrs of request.
Coordinate lift timings/delivery slots (Thu–Sat for key items).
Liaise with stores/office for dispatch accuracy.
Labeling & Documentation
Coordinate labeling with Design; verify stickers vs. floor plans; correct/report errors pre-delivery.
Quality Control
Conduct daily QC inspections; maintain QC reports.
Book/manage 2–3 client QC inspections weekly; prevent repeat issues across floors.
Finished Goods & Installation Prep
Ensure damage-free delivery and correct placement.
Prepare accessory kits by Saturday for Monday installation.
Special Deliveries
Schedule/oversee granite, mirrors, electrical item deliveries.
Team Performance Evaluation
Rate installation teams weekly (speed, quality, punctuality, technical skill); maintain templates and improvement actions.
Floor Completion & Work Evaluation
Manage floor sign-offs/client approvals; submit evaluations for payment.
Clarify inspection roles and document liability for delays.
Labour Budget Tracking
Submit weekly labour budget; compare planned vs. actual; flag extra costs/delays.
Qualifications, Education and Competencies
Bachelor’s/Diploma in Interior Design, Architecture, Construction Management, Wood Products Technology, or Business Administration.
3–5 years experience in project/site coordination (fit-out/wood products preferred).
Strong grasp of drawings/specs, materials, and construction workflows.
Proficient in MS Office (Excel, Word, PowerPoint); AutoCAD/SketchUp a plus.
Excellent time management, organization, and stakeholder communication.
Able to run multiple projects in a fast-paced environment; knowledge of local HSE standards is an advantage.
