Job Description
The Procurement and Logistics Assistant plays a vital role in ensuring effective and efficient procurement operations at TREES. The role involves supporting the Procurement and Logistics Officer in implementing standardized procurement procedures, including open tendering and vendor engagement. The assistant will work closely with field teams to identify bottlenecks and ensure timely delivery of supplies, materials, and equipment to various field offices. Additional responsibilities include assisting with annual procurement planning, asset management, logistics coordination, supplier negotiations, and reporting. The role requires strong organizational, communication, and compliance skills.
Duties, Roles and Responsibilities
Collaborate with field teams to identify and resolve procurement and logistics challenges.
Support procurement processes including planning, tendering, and vendor selection.
Assist with preparing and monitoring the annual procurement plan.
Ensure procurement activities comply with TREES’ Procurement Manual and financial policies.
Maintain accurate records and prepare monthly procurement reports.
Manage relationships with suppliers and negotiate contract terms.
Support the distribution of supplies, seeds, materials, and equipment to field offices.
Oversee proper storage and security of equipment and supplies.
Maintain motorbike and vehicle mileage logs and monitor fuel consumption.
Organize travel arrangements for staff including transportation and accommodation.
Conduct inspections of field sites to ensure safety compliance.
Track receipts and expenditures, and assist in maintaining the Asset Register.
Support Seed Bank Department by verifying seed quantities and distribution documentation.
Facilitate training sessions on procurement and logistics for project personnel.
Assist in accident reporting, safety policy enforcement, and asset tracking.

Qualifications, Education and Competencies
Bachelor’s degree in Procurement, Supply Chain Management, Business Administration, Commerce, or a related field.
At least 2 years of relevant experience in procurement and logistics, preferably in an NGO or development program.
Strong understanding of sourcing processes, supply chain management, and asset management.
Good communication and negotiation skills.
Proficiency in procurement systems, inventory tracking, and financial documentation.
High ethical standards and transparency in procurement activities.
Ability to collaborate across departments and maintain good stakeholder relations.
Experience in agriculture, tree planting, or program-specific procurement is an added advantage.
