Job Description

To provide Secretarial, administrative and office managerial services to the Executive Director of the Company.

Duties and Responsibilities

Responsibilities:

  • Receive, open, sort, screen and prioritize all incoming written correspondence for the CEO to ensure distribution and follow up on any responses if required;

  • Create and maintain a filing system for all documents (soft copy and hard copy) that enables easy retrieval as and when required;

  • Deal with telephone and email enquiries and direct to the appropriate office;

  • Create and maintain an up-to-date contact list for all Directorates.

  • Schedule meetings both internal and external for the different Directorates when required,

  • Organise staff meetings, and maintain a formal record of the meetings;

  • Perform typing duties on behalf of the Authority (ED, Deputy ED and Directors);

  • Maintain stationery and equipment for the secretarial area;

  • Photocopy and print various documents, sometimes on behalf of staff members if and when required; and

  • Any other duties that may be assigned from time to time.

Qualifications and Competencies

Qualifications:

  • Honours Bachelor’s Degree in Secretarial Studies/ Business Management, Business Administration or any other related degree from a recognized University/institution

  • Post graduate Diploma in Secretarial Studies, Business Management, Business administration, Law is an added advantage.

  • Knowledge and ability to understand the Authority’s vision, mission and Objectives;

  • Ability to handle sensitive information and maintain confidentiality.

  • Should possess values of the Authority which include; integrity, confidentiality, accountability, professionalism.

  • Good communication skills both verbal and written;

  • Customer service skills;

  • Planning, Organizing and Coordination skills;

  • Record keeping and Information Management skills;

  • Ability to prioritize tasks, manage workload and can multitask;

  • Works well independently and as part of a team;
