Job Description
The Office Assistants will play a critical role in supporting the day-to-day operations of the Mtwapa field station. They will be responsible for handling inquiries, maintaining visitor and security logs, assisting in documentation and internal communication, supporting meetings and training logistics, managing records, maintaining cleanliness of the office and compound, handling gardening and waste disposal, and performing any other office-related duties assigned.

Prepare and manage sign-in sheets, appointment logs, and visitor records.
Handle inquiries in person, via phone, or email, and direct them appropriately.
Assist in printing, photocopying, and organizing forms or documents.
Distribute internal communications, meeting notices, or updates.
Maintain logs for participant visits, courier shipments, and general office supplies.
Issue visitor badges and maintain security logs.
Coordinate refreshments and logistics for meetings or training sessions.
Clean offices and compound areas.
Record and dispatch letters, files, and documents.
Coordinate participant transport reimbursements and maintain proper records.
Perform gardening tasks including planting, weeding, pruning, and mowing.
Collect, assemble, and dispose of waste.
Carry out any other office-related duties as assigned.
Qualifications, Education and Competencies
Kenya Certificate of Secondary Education (KCSE) Mean Grade D or equivalent from a recognized institution.
Proficiency in computer applications.
Strong organizational skills.
Good public relations skills.
Excellent communication skills in both English and Kiswahili.
Strong interpersonal skills.
