Job Description

Reporting to the Property Manager, the Office Administrator will oversee daily administrative operations including correspondence handling, scheduling, data processing, and reception duties. The role requires excellent organizational skills, attention to detail, and the ability to manage office communications and equipment. The administrator will also be responsible for maintaining accurate records and supporting internal meetings and workshops.

Duties, Roles and Responsibilities

  • Provide front office services to support smooth office operations.

  • Safeguard office equipment, documents, and records.

  • Record dictation and transcribe documents accurately.

  • Process office data and manage electronic communications.

  • Plan and coordinate meetings, workshops, and seminars.

  • Respond to correspondence and handle phone calls and inquiries.

  • Welcome and attend to visitors and clients.

  • Schedule appointments and maintain the office calendar.

  • Ensure proper document filing and record-keeping.

  • Operate office equipment and handle clerical tasks.

  • Perform any other duties assigned by the Property Manager.

Qualifications, Education and Competencies

Option 1 (Preferred):

  • Diploma or Higher National Diploma in Business Administration or related field.

  • At least two (2) years of relevant experience.

  • Proficiency in computer applications.

Option 2 (Alternative Pathway):

  • KCSE Mean Grade D+ or equivalent.

  • Craft Certificate.

  • Four (4) years of relevant work experience.

  • Proficiency in computer applications.

  • CPA Part II or equivalent accounting certification (where applicable).
