Job Description
The role involves managing daily schedules and appointments for the CEO and key management, coordinating meetings, overseeing communications with internal and external stakeholders, and preparing high-level reports and presentations. The Executive Associate will also support project management, safeguard sensitive information, facilitate office operations, and plan corporate events. This role requires strong organizational skills, discretion, and the ability to anticipate and solve problems independently while maintaining a professional demeanor in a fast-paced financial environment.
Duties, Roles and Responsibilities
Manage and coordinate the schedules of the CEO and key executives, including meetings and travel.
Assist with internal and external communication, especially with stakeholders such as the Board, Bank of Ghana, and company secretaries.
Draft and edit reports, presentations, and documents for executive use.
Track and manage multiple ongoing projects and report progress to leadership.
Maintain confidentiality in handling sensitive documents and information.
Support vendor, client, and partner relations by scheduling and coordinating meetings.
Ensure smooth office operations, including procurement of supplies and logistics.
Plan and coordinate corporate meetings, conferences, and related logistics.
Anticipate executive needs and proactively resolve administrative issues.
Promote and enforce a safeguarding culture within the organization.
Train and support team members in safeguarding procedures and protocols.
Qualifications, Education and Competencies
Education:
Bachelor’s degree in Business Administration, Finance, or a related field.
Experience:
At least 3 years of experience in executive support or administrative roles.
Previous experience in the banking or financial services industry is preferred.
Familiarity with project management tools and systems.
Skills and Competencies:
Strong time management and prioritization abilities.
Excellent verbal and written communication skills.
High level of confidentiality and professionalism.
Effective problem-solving and decision-making abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with tools such as Asana, Trello, or CRM systems.
