Job Description
Reporting to the Director of Human Resources and Administration, the Documentation and Archives Officer will be responsible for establishing, operating, and maintaining systems for documentation and archives across the district. This includes developing classification policies, overseeing access to materials, managing book acquisitions, cataloguing resources, and supporting the dissemination of public documents. The role involves close collaboration with logistics and other departments to support transparency, compliance, and knowledge management within the district.
Duties, Roles and Responsibilities
Develop and implement a comprehensive documentation and archive system in line with international standards.
Collaborate with relevant staff to establish an information classification and access policy.
Manage the acquisition and lending of books and documents in coordination with the Logistics Officer and prepare related budgets.
Conduct annual inventories of books and documents and ensure their maintenance.
Maintain a systematic cataloguing and indexing system for all materials.
Regularly update the district’s documentation database.
Distribute official publications such as newspapers and gazettes and notify users about new resources.
Qualifications, Education and Competencies
Bachelor’s degree in Library and Information Science, Records Management, or a related field.
Previous experience is not mandatory but will be an added advantage.
Strong organizational and record-keeping skills.
Familiarity with library software and digital archiving tools.
Excellent communication and interpersonal skills.
High attention to detail and integrity in handling public information.
