Job Description
The Administrative Officer is responsible for maintaining smooth company operations by coordinating timely acquisition and delivery of goods and services, managing statutory permits, and ensuring functionality of office equipment across departments and branches. The role involves procurement analysis, contract management, utilities payment tracking, record keeping, supplier evaluation, and preparation of departmental reports. The officer also plays a role in budgeting, implementing change initiatives, and benchmarking best practices to enhance operational efficiency and service delivery.
Duties, Roles and Responsibilities
Source quotations from service providers and prepare procurement analysis
Ensure timely procurement and distribution of goods and services
Manage maintenance of office equipment and machinery
Monitor and report on service level agreements (SLAs)
Prepare and manage departmental budgets
Maintain payment and procurement records
Coordinate fire permit applications and compliance with local authorities
Handle utility payments and maintain proper records
Supervise franking of documents and submit weekly progress reports
Evaluate supplier performance and prepare reports
Benchmark and implement best practices
Oversee proper resource allocation and facilities maintenance
Manage and implement organizational change initiatives
Qualifications, Education and Competencies
Academic Qualifications:
Bachelor’s degree in a business-related field
Professional Qualifications:
Diploma in Supply Chain Management
Experience:
At least 3 years of relevant experience
