Job Description
Duties, Roles and Responsibilities
Qualifications, Education and Competencies
The Administration and Community Relations Officer shall coordinate and provide administrative support to the TGS team and participation in development, implementation and enforcement of the organization's administration policies and practices.
The position reports to the Operations Manager and is based at the Tororo Grinding Station in Tororo. The job holder is responsible for administrative support across TGS. The incumbent will be required to manage the administrative function for the Plant including responsibilities for filing and archiving of all documentation.
The position requires an individual with in depth interpersonal skills to be able to deal with people at all levels.

The job holder will also be charged with engaging with the local community around the plant following guidelines and support from the Communications Manager.
Manages the travel and accommodation, transfers, relocation (movement of goods, storage handlers) etc with arrangements for Expatriates and at Plant staff movements in liaison with the General Manager and the Kampala Administration Team.
Coordinates and follows up local immigration issues for the Plant expatriates at the immigration with the Kampala Administration Team. This includes work permits, special passes and passport renewals.
Contract administration; Coordinates various Plant support services-ensures that contractors-office cleaning security perform as required in contract terms.
I Arrange repairs and maintenance of office equipment
Manage the physical assets at the plant with the Plant controller including updating of the inventory database, production of reports and maintenance of replacement plans and budgets.
Coordinate the management of the Plant Vehicles which includes ensuring that they are maintained in accordance to the maintenance plan.
I Ensures that all insurances, road license and other related activities are managed efficiently and effectively.
To build and maintain relations with the key stakeholders across thee community.
Proactively identify potentially contentious community issues, provide advise for effectively managing issues and escalate to the Communications Manager.
Assist in developing and implementing community plans and ensure that program deliverables are met on time and within agreed budget.
Develop stakeholder management and CSR strategy for the plant and requisite actions to ensure effective management of internal and external stakeholders.

Bachelors in Business Administration or equivalent.
SAP knowledge is an added advantage.
MS Office Proficiency (Excel and word).
Basic reporting skills

Interpersonal skills and a team player.
Good planning and organizational skills
Must be able to build good working relations with both internal customers and external stakeholders
